Key Responsibilities and Accountabilities

The Human Resources Administrator provides day-to-day administrative and operational support across core  Human Resources functions in Brazil, ensuring compliance with Brazilian labor legislation (CLT), applicable collective bargaining agreements, and internal company policies. This role supports employee lifecycle processes including onboarding/offboarding, employee record maintenance, benefits administration support, recruitment coordination, HR reporting, and employee inquiry response. The HR Administrator handles confidential employee information in accordance with the Lei Geral de Proteção de Dados (LGPD) and maintains accurate documentation required for audits and statutory reporting.

Tasks:

• Support the end-to-end onboarding and offboarding process, including collection and validation of mandatory personal documents, coordination of pre-employment medical examinations (ASO), and preparation/maintenance of employment documentation.

• Maintain accurate physical and digital employee personnel files (contracts, amendments, acknowledgements, and supporting documentation) and ensure records are up to date.

• Coordinate HR data entry, updates, and reporting in HRIS (e.g., ADP WorkforceNow or local systems) and support required submissions and recordkeeping for Brazil (e.g., eSocial data coordination as applicable).

• Provide administrative support for benefits and statutory programs, responding to employee questions regarding benefits and leave (e.g., vacation scheduling, meal/transportation vouchers where applicable) and routing complex items to HR leadership or vendors.

• Coordinate recruitment administration, including job postings support, interview scheduling, candidate communications, and onboarding logistics.

• Support compliance activities by tracking key dates and documents (e.g., probationary period checkpoints, contract renewals for fixed-term hires, and required acknowledgements).

• Assist with internal HR communications and policy administration, including distribution of policies, collection of employee acknowledgements, and maintaining policy records.

• Partner with local stakeholders (e.g., accounting/payroll providers) to support timely processing by providing accurate employee data and documentation, while maintaining confidentiality and data privacy controls.

• Contribute to continuous improvement of HR administrative processes, templates, and checklists to increase accuracy, speed, and compliance readiness.

Compliance and Data Privacy (Brazil):

• Work is performed in alignment with CLT requirements and any applicable collective bargaining agreements, including proper documentation of the employment relationship.

• Maintain confidentiality and process personal data in accordance with LGPD principles (purpose limitation, necessity, security, and accountability).

• Support accurate recordkeeping needed for statutory obligations and inspections, escalating questions to HR leadership or legal counsel as appropriate.

Skills and Knowledge:

• Working knowledge of core HR administration practices and familiarity with Brazilian Labor concepts (CLT) and HR documentation standards.

• High attention to detail, strong organization, and ability to manage multiple priorities in a fast-paced environment.

• Professional communication skills: English proficiency (written and verbal) required.

• Discretion and integrity when handling confidential employee information and sensitive issues.

• Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning HRIS/payroll portals.

• Strong customer-service orientation and ability to work collaboratively with employees and cross-functional partners.

Supervisory Responsibilities: 

This position has no supervisory responsibilities; however, it provides administrative support and guidance to employees on HR processes and directs questions to appropriate stakeholders when needed.

Position Type and Expected Hours of Work: 

This is a full-time position. As such, the Human Resource Administrator is eligible to participate in the regional benefits program offered to Katalyst employees.

Standard days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m., with flexibility as needed to support business requirements and local timekeeping practices.

Travel: 

Occasional local travel may be required for this position. If an offsite meeting or errand is requested, eligible mileage reimbursement will follow company policy and applicable local guidance.

Required Education and Experience 

• Bachelor’s degree in Human Resources, Business Administration, or a related field; or equivalent combination of education and experience.

• Three (3) to five (5) years of experience in HR administration, HR operations, or a similar role.

• Experience supporting onboarding documentation, personnel file maintenance, and benefits/employee inquiries.

• Experience working with HRIS platforms (e.g., ADP WorkforceNow) and coordinating HR data updates and reporting.HR certification or coursework (local or international) is a plus.
